Key Responsibilities1. Patient Outreach, Follow-ups & Sales Conversion

  • Call, text, and email leads who submit forms through Facebook, Instagram, and our website.
  • Follow up with warm leads in the CRM (Go High Level) and convert them into paying patients.
  • Explain treatment plans, pricing, and answer patient questions about Semaglutide & Tirzepatide.
  • Secure patient appointments and process payments via Stripe, Klarna, or CareCredit.
  • Follow a structured call and messaging script to optimize patient conversions.
  • Maintain detailed call notes and track lead progress in CRM.

2. Patient Support & Scheduling

  • Manage patient inquiries via phone, email, and chat.
  • Schedule & confirm virtual consultations using Go High Level CRM.
  • Assist patients with health history forms and consent documents.
  • Provide information on weight loss programs, pricing, and medication details.
  • Handle patient reminders & appointment follow-ups to increase retention.

3. Pharmacy Coordination & Medication Orders

  • Submit and track patient medication orders with partner pharmacies.
  • Confirm patient details, shipping addresses, and payments before processing orders.
  • Communicate with 503A & 503B compounding pharmacies regarding order fulfillment and shipping.
  • Address prescription-related inquiries and escalate issues as needed.

4. CRM & Administrative Support

  • Manage and update patient records in Go High Level CRM.
  • Ensure smooth workflow automation for lead generation, follow-ups, and reminders.
  • Track patient conversions and refine sales funnel strategies.
  • Generate weekly reports on patient interactions, orders, and campaign performance.

5. Social Media & Marketing Support

  • Create and schedule social media posts for Facebook, Instagram, and other platforms.
  • Manage engagement by responding to comments, messages, and inquiries.
  • Assist with Facebook Ads & Google Ads campaigns to generate leads.
  • Design ad creatives and marketing materials using Canva or Photoshop.
  • Research & draft SEO-friendly blog posts for our WordPress website (Hostinger) to boost search rankings.

6. Customer Support & Retention

  • Address patient concerns, questions, and feedback professionally.
  • Provide guidance on medication usage, side effects, and best practices.
  • Resolve patient complaints and escalate unresolved issues as needed.
  • Maintain a high level of professionalism and patient confidentiality (HIPAA-compliant communication).

Qualifications & Requirements

 Experience in telehealth, virtual medical assistant, or patient sales support roles.

✅ Strong verbal communication & sales skills – able to convert leads into paying patients.

✅ Knowledge of GLP-1 medications (Semaglutide, Tirzepatide) or willingness to learn.

 Proficiency in Go High Level CRM, Hostinger/WordPress, Facebook Ads, Instagram Ads, Canva, or Photoshop.

 Highly organized & detail-oriented – able to multi-task effectively.

 Empathetic and patient-focused, capable of handling sensitive medical inquiries.

 Experience in pharmacy coordination and medication ordering processes is a plus.

 Available for U.S. business hours (CST preferred, but flexible based on location).

Preferred Skills (Bonus if you have these!)

  • Experience in telemedicine, healthcare, weight loss industry, or med spa sales.
  • Familiarity with Facebook & Google Ads for lead generation.
